York Archaeological Trust
Customer Case Study

Discover how we helped York Archaeological Trust install new, cost-saving multifunction print devices across their UK offices.

We introduced a range of high performance Xerox® WorkCentre™ models to boost productivity, simplify tasks and keep printing costs in check.

We have worked with a range of different companies for many years, making us ideally suited to helping businesses and organisations find the devices that will make a real difference to their working ability and bottom line.

The Customer

As an independent charity, York Archaeological Trust is dedicated to investigating the past for the benefit of present communities and future generations. Set up in 1972 to help with the preservation of the huge number of archaeological deposits within the historic city of York, it is now one of the UK’s biggest archaeological organisations with offices in York, Glasgow, Sheffield and Nottingham.

With their ongoing commitment to community involvement, education and training in archaeology, York Archaeological Trust continues to present its archaeological discoveries to the public using innovative and dynamic methods. Their work has resulted in the creation of the JORVIK Viking Centre, DIG, several successful touring exhibitions and the opening of the Henry VII and Richard III Experiences.

The Challenge

While York Archaeological Trust’s head office is based in York, there are three other offices located in Glasgow, Sheffield and Nottingham. This meant that YAT needed a supplier that could install solutions in six different locations across the country and after installation, continue to provide national service support.

YAT wanted seven colour A3 Multifunctional Devices (MFDs) for six of their locations in York, Glasgow and Nottingham. Needing a product they could trust, they specifically wanted a market-leading product. However, they wanted it supplied by a local company in York who could also offer a national engineering service to all of their locations as well as a managed print service that offered remote monitoring and automatic consumables replacements and servicing as well as a central IT portal so that all devices could be managed from the York head office.

The Solution

We have worked with a range of different companies for many years, making us ideally suited to helping businesses and organisations find the devices that will make a real difference to their working ability and bottom line.

Price was a key factor in this case as we were competing against York Archaeological Trust’s current Canon supplier. To help fund the capital cost of the equipment, we offered a five-year lease finance package at a very competitive rate.

We chose four Xerox® WorkCentre™ 7225 devices and three Xerox® WorkCentre™ 7830 models to meet the needs of each office and installed them at each location with full IT and training support.

The Xerox® WorkCentre™ 7225 is a colour multifunction printer that has been specifically designed to boost productivity, simplify tasks and keep printing costs in check. As it’s Xerox, it’s an efficient device that comes with inbuilt enhanced security features so you can be sure that critical information is well safeguarded.

Ideal for the modern workplace, it features a colour touchscreen that is user-friendly and enables quick and simple access to workflow-optimising capabilities such as scanning files to your USB, mobile or email account and even creating searchable and secure PDFs. It also offers mobile printing and scanning solutions that integrate with cloud-based technologies and mobile devices for enhanced convenience and flexibility wherever you may be.

Another advantage to the 7225 model are the inbuilt cost controls - an important element for any business or organisation. It offers affordable colour printing as well as customisable settings that encourage print responsibility, enables you to manage and track device usage and allows for easy and accurate billing.

The Xerox® WorkCentre™ 7830 enables fast and simple copying, emailing, printing and scanning. With superior print quality, mobile solutions, security and cost-control features, it seemed an ideal solution for York Archaeological Trust’s needs. The high print quality will enable YAT to achieve high-impact, professional colour documents at an affordable price.

This model also features the ability to integrate and streamline multiple office processes, simplify complex tasks and free up company resources. It can automate common office workflows with the simple to use colour touch screen, enabling scanning in a single touch, searchable PDF creation, printing and scanning to a USB and scanning to email. It also easily allows for mobile working, meaning users aren’t restricted to the office in order to use the device’s great features.

Like the Xerox® WorkCentre™ 7225, the 7830 also has important security and cost control features. It has a complete range of advanced technologies from leading security industry names that ensure that your critical information is safeguarded from all potential points of vulnerability. When it comes to cost control, the Xerox® WorkCentre™ 7830 makes it easy to set User Permissions to restrict access by user, group, time of day or application.
